Our Payroll Process Explained

From registration to direct deposit, here's how we manage your US payroll with precision and compliance.

1

Employer Registration

Before you can run payroll, your company must be registered as an employer. We handle the applications for your federal EIN and all required state payroll tax accounts (for unemployment and income tax withholding) in every state where you have an employee.

2

Employee Onboarding

We invite your employees to our payroll partner's secure online portal. They onboard themselves by filling out their personal details, tax withholding information (Form W-4), and direct deposit details, reducing administrative work for you.

3

Run & Approve Payroll

For each pay period, you simply enter your employee's hours or confirm their salaries. Our system calculates all gross pay, taxes, deductions, and net pay. You give final approval, and you're done.

4

Automated Payments & Filings

Once you approve, our system handles everything else automatically: employees are paid via direct deposit, and all federal, state, and local payroll taxes are calculated, debited from your account, and remitted to the appropriate government agencies on time.

5

Reporting & Year-End

All your payroll reports are stored in your portal for easy access. At year-end, we automatically generate and file all W-2s for your employees and 1099s for your contractors, ensuring full compliance.

What is your payroll process?

Our managed payroll service is a four-step process: 1) We handle all federal and state registrations for you. 2) We onboard your employees onto the payroll system. 3) You approve hours/salaries for each pay period. 4) The system automatically calculates taxes, pays employees via direct deposit, and files all tax reports with the government.

What payroll software do you use?

We partner with industry-leading payroll providers like Gusto and Rippling. These platforms are renowned for their reliability, ease of use, and compliance automation.

How long does it take to set up payroll?

Setup time depends on state registration timelines, which can vary from a few days to a few weeks. It's crucial to start the setup process as soon as you decide to hire, well before the employee's first day.
